FAQ
Questions before you put DaytaBrain to work
Everything from what DaytaBrain is to how it handles your data, your initiatives and your decisions.
Getting started
What is DaytaBrain?
DaytaBrain is your AI strategy partner. It checks every initiative against the plan and assumptions it was approved on, and tells leaders what’s drifting, why, and what to decide next, before the status report. Instead of someone chasing updates and building reports by hand, DaytaBrain does the monitoring, so your team can focus on making initiatives succeed.
How is DaytaBrain different from a dashboard or a project management tool?
Project management tools track tasks. Dashboards show numbers. Neither tells you whether an initiative is still on track to deliver what it was approved for. DaytaBrain connects each initiative to its goals, KPIs and assumptions, then shows what changed, why it matters, and which assumption stopped holding, even when the KPIs still look green.
What does DaytaBrain replace?
DaytaBrain is not a project management tool or a BI dashboard. It replaces the manual work between them: chasing updates, checking and reconciling numbers, building leadership reports, digging out the original plan, piecing together what changed and why, and tracking whether decisions actually worked.
Who is DaytaBrain for?
CEOs, Chiefs of Staff, strategy and transformation leaders, and PMO teams who report to the C-suite: anyone responsible for whether a portfolio of initiatives delivers on its promise.
Do I need to write AI prompts?
No. There are no prompts to write. You set up an initiative once, upload your KPI data on your usual cycle, and DaytaBrain does the analysis.
Can we start with just one initiative?
Yes, and that’s how most teams start. Pick one or two initiatives you already report on, and see DaytaBrain at work on them before you expand.
How do we get started?
Start with a replay. Share one finished initiative that went off track, fully anonymized, and we’ll show you when DaytaBrain would have warned you, compared with when your team actually found out. Then run DaytaBrain on a live initiative. During a trial, our team does the data upload for you.
How it works
What information does DaytaBrain need?
For each initiative: the goal, the assumptions it was approved on, its KPIs with a baseline and target, and the KPI values for each reporting period. A guided setup wizard and a spreadsheet template walk you through it.
How does DaytaBrain learn how our organization works?
Each initiative is set up with its own charter, KPIs, thresholds and assumptions, so DaytaBrain judges it against what your organization actually agreed to, not a generic standard. Your status rules are set once and applied the same way every time, so one person’s “green” means the same as everyone else’s.
How often do we update the data?
On your normal reporting cycle: weekly, every two weeks, monthly or quarterly. Before each review, DaytaBrain emails the initiative owner if a KPI is out of date or slipping, or if the initiative is behind schedule.
Does DaytaBrain make decisions for us?
No. DaytaBrain recommends; your leaders decide. You accept, reject or defer each recommendation, and every choice is recorded with its reason. The pre-review warnings don’t use AI at all. They run on your dates and KPI numbers, so they’re predictable.
How do we know whether our decisions worked?
DaytaBrain tracks each decision against the KPIs it was meant to move, with check-ins at 30, 60 and 90 days. Over time, you see which kinds of decisions work, and what your organization should learn from them.
Can we see the whole portfolio?
Yes. The Portfolio view shows how many initiatives are at risk, which pillar carries the most exposure, and where dependencies and investment are at risk.
How does DaytaBrain keep AI work reviewable?
Every number shows how it was calculated, and numbers DaytaBrain can’t trust are flagged instead of reported as green. Each analysis explains what changed and which assumption it affects. If the AI analysis is ever unavailable, your real KPI numbers still show.
Integrations, security and pricing
Does DaytaBrain integrate with our systems?
You can start on day one with a spreadsheet upload, with no IT project. Once you’ve seen the value, we’ll work with you on connecting your systems so KPIs flow in automatically. For organizations on Salesforce, DaytaBrain for Salesforce runs inside your own Salesforce.
Do we have to replace our current tools?
No. Jira, Smartsheet, Excel and your project tools keep running the work. DaytaBrain sits above them and tells you whether all that work is adding up to the result you planned.
Is my data secure?
Role-based permissions control who sees and changes what. Uploads are private, data is kept for one year, and only administrators can permanently delete it. Customer KPIs are never shared without approval. AI usage has organization-level limits and controls. Our security controls are documented to the SOC 2 standard.
Which AI does DaytaBrain use?
DaytaBrain uses leading AI models from OpenAI and Anthropic (Claude) to analyze performance and explain what’s changing.
Is DaytaBrain built on research?
Yes. DaytaBrain is built on The Signal Gap, peer-reviewed research published in PM World Journal (August 2026), based on interviews with 20 senior leaders across 8 countries and 8 industries.
How is DaytaBrain priced?
Pricing depends on your organization’s size and how many initiatives you want DaytaBrain to monitor. It’s not a one-size-fits-all seat license. Start with a free trial, then book a call and we’ll walk through pricing for your setup.
